El objeto de este pliego es fijar la bases para la contratación de los servicios de diseño e ó nscripci instalación de gráficas y rotulación para los stands de la zona de Andalucía en la Feria 14 I Internacional Golf Travel Market - IGTM 2017, para la Empresa Pública para la Gestión del 4 7 10 Turismo y del Deporte de Andalucía, S.A. Información adicional: Como novedad importante a tener en cuenta, se informa que el recinto ferial que este año acoge el evento en Cannes exige unas normas específicas y estrictas relacionadas con salud, seguridad y protección ante incendios. Más información en pag. 20 del Manuel del Expositor que se adjunta en documentación (anexo I). La organización de la feria exige y solicita a todos los coexpositores que dichas normas sean cumplidas de forma rigurosa y absoluta y que se facilite toda la información y certificados requeridos de forma obligatoria. Se debe comprobar con detalle todas las especificaciones recogidas en la documentación anexa. Los puntos principales a tener en cuenta son los siguientes: 1.- Cualquier elemento, panel con gráfica y / o elemento decorativo o mobiliario que se vaya a incorporar a las estructuras modulares de tamaño superior a A1 , deberá de ser autorizado previamente por la organización tras presentar el certificado de seguridad ante incendios correspondiente que debe de respetar la normativa de incendios recogida en el manual de expositores ( Normativa francesa ante incendios EN 13 501-1:M1 o Europa B standard ) 2.- El uso del color blanco sobre fondo verde o de textos en color verde está prohibido. Dichos colores están reservados para la señalética general de seguridad en el recinto. Remove all building and packaging materials from the venue by 1600 so aisle carpet can go down. Stand display set up and exhibits must be complete by 1800 on Monday 11th December. Please ensure that stand designs can be built and dismantled within the available timetable. Stand plans and safety file must be submitted for approval to [email protected] no later than Friday 20th October 2017. We reserve the right to deny access to any contractors that fail to submit all required documents for a complete safety file. For reasons of security, exhibitors are advised to remove all portable and valuable items as soon as possible after the show closes and not to leave their stand unattended until all items are clear. Friday 15th December 0800 - 1600 Space only stands to continue dismantling Venue to be cleared by 1600 hours All standfitting & excess waste must be removed by 1600 on Friday 15th December 2017 Any waste or materials remaining in the halls at this time or damage caused to the premises will be charged to the relevant exhibiting company/contractor. All services/ orders should be placed as soon as possible from the opening of the Servis boutique on the 15th August 2017 – surcharges may apply to any orders placed after the boutique closes and availability of certain services will be limited. 3 Deliveries, storage & lifting This section contains information on how to get items delivered to IGTM 2017 in Cannes, how you can store them (if you don't have enough room on your stand) and if you have any heavy items how you can get these delivered and moved around the exhibition. DB Schenker have been appointed by Reed Exhibitions as the official freight forwarding, courier and lifting contractor for IGTM 2017. If you require further information regarding your freight forwarding please do not hesitate to contact DB Schenker: Contact: Natalie Labina Tel: +44 (0)1268 632109 Email: [email protected] Website: www.dbschenker.co.uk Delivery address and non-official show Courier If you are using a courier company other than DB Schenker for deliveries, please ensure they have: (cid:120) Your stand number, (cid:120) Your exhibiting company name, (cid:120) The contact name and telephone number of the person receiving onsite. Important note: Direct deliveries must not arrive at the venue before 9th December 2017. They will be returned to your local logistics/carriers depot. If there is no one at your stand to receive your delivery, and the delivery is accepted at the Espace Rivera then please be aware that you will incur an additional handling fee from DB Schenker. All deliveries sent direct to the venue for 9th to 11th December must be addressed to: Contact Name (Mobile Number) Company Name & Stand Number IGTM 2017 Palais des Festivals et des Congres Boulevard de la Croisette 06403 Cannes Cedex France Sending Shipments to an exhibition can be difficult, especially if you use freight contractors who are not used to working in an exhibition environment. If you are sending shipments we advise you to book and use the DB Schenker service who will accept, hold and deliver the items to your stand when you arrive for a charge. For more information please contact Natalie Labina. 4 Deliveries during Build-Up Deliveries should not be sent to site until a representative of your company is present to sign for your delivery. The Organiser is unable to accept or sign for any deliveries on your behalf. No deliveries will be accepted before Saturday 9th December 2017. For the most reliable, cost-effective solution to ensure that your goods arrive safely and on time, we strongly recommend that you arrange shipping with DB Schenker. They will ensure that your goods are picked up from anywhere in the world, delivered to the show, stored until you are ready to receive them, deliver them directly to your stand and make arrangements to return any goods safely. Overseas and Non-EC Exhibitors should be aware of the custom procedures relating to duty and VAT payments. By using DB Schenker, they will arrange ensure your packages arrive safely at IGTM 2017 and the correct customs procedures are followed. For further information, please email Natalie Labina. From our experience, we find that build-up is a very busy period and many courier companies either refuse to deliver to a show during this time, arrive late or arrive onsite and find that they are unable to get a signature and therefore leave with your goods. For these reasons we recommend using DB Schenker as your goods will arrive onsite before you do and stored safely until you are ready to receive them. This service will need to be prebooked with DB Schenker in advance of shipping to the venue to obtain courier receiving instructions. Delivery of Items During the Exhibition Courier companies will not be permitted to enter the exhibition halls during the open period of the show. We therefore advise that no deliveries are made during this time. If deliveries are made then please be aware that you will incur an additional handling fee from DB Schenker. Customs Arrangements If you are transporting goods from outside of Europe, your shipment will need to go through the EU customs clearance process. For further details on customs requirements, please contact Natalie Labina at DB Schenker. 5 Onsite Storage If you require storage and need a place to store empty cartons, boxes, literature etc. please contact DB Schenker, who will collect these from your stand, store them and deliver them back to you during breakdown. Do not store excess stock, literature or packing cases around or behind your stand. Whilst every precaution is taken to ensure the safety and security of the storage areas, we cannot accept any responsibility whatsoever for any, loss or damage or any consequential losses which may befall on your property. Lifting DB Schenker are the official lifting contractor for the show. No other company may operate any lifting equipment inside the hall and around the perimeter of the venue. To order forklift services please contact DB Schenker, who will be happy to discuss your lifting requirements and provide you with a quote for their services. Trolleys will not be allowed on the show floor until after this time. If you have arranged transport services through DB Schenker they will, if required, arrange to return any empty packaging materials you have stored with them back to your stand and then collect your goods once they are packaged, labelled and ready to go. You must not leave any goods unattended on your stand (e.g. Laptops, Plasma screens). If you have arranged for your own transport or courier company to collect items, please ensure that you are on your stand to hand them over. The Organisers cannot be held responsible for any loss or damage to your goods. All portable and valuable items must be removed as soon as possible after the exhibition, in any case by 2100 on Thursday 14th December. All materials, packaging and waste must be removed by 1600 on Friday 15th December. Any items left after this time will be treated as rubbish and you will be charged for the disposal. Insurance The Exhibitor is responsible to ensure that they have adequate insurance for their goods: 1. Whilst in transit to and from the exhibition 2. Whilst at venue and/or in storage and also 3. Whilst in transit to other destinations. DB Schenker can provide a quotation to insure your goods for you but this is on a request basis only. 6
